Using TrialWorks’ Automated TimeKeeping

Let’s expand on last week’s Tip of the Week and set up Automated TimeKeeping.

Each TrialWorks user can have default billing rate set up specific to their role 
or specific to each task.

If you do not see ‘Admin Tools,’ please ask your TrialWorks Administrator to set up Billing Rates.

Click ‘Admin Tools’ from the Home Ribbon.

Click ‘Edit User’

Find the user and add an Hourly Rate. Each user can have a different rate.

You can have different billing rates setup by either Case, Master Client or by Liability and Sub Liabilities

Click ‘Settings’ from the Home Ribbon

Click ‘Billing Rates’ from the Financial section

Master Client: Use the dropdown menu to select a client.

User Name: Select the TrialWorks user to set the default billing rate. If you would like to add more than one person for an individual case, use a second line item.

Hourly Rate: Type in the hourly rate.

Set default billing rates by User for Liabilities or Sub Liabilities:

Liability / Sub Liability: Use the dropdown menu to select a liability.

User Name: Select the TrialWorks user to set the default billing rate. If you would like to add more than one person for an individual case, use a second line item.

Hourly Rate: Type in the hourly rate.

Follow the same steps if you wish to add default rates to an ‘Individual Case.’

Click on the ‘Case/Retainer Info’ tab

Mark ‘Billable Cases’ by clicking the billable case checkbox

Click ‘Templates’ from the Home Ribbon

Click ‘Add/Edit Templates’ to automate billing for document generation

Library: Choose your Template type from the dropdown.

Billable Hours: Type in the number of hours to bill based on the document description.

Task Code: Select the Task Code from the dropdown.

Activity Code: Use the dropdown to select the Activity Code. Close the door to exit and save your changes.

To generate a document with automated timekeeping, click on the tab of the type of document you wish to produce.

Click on ‘Correspondence’ to generate a document.

Click the yellow plus sign.

Select a Template from the dropdown.

Click ‘Create Correspondence’ and the document will generate.

Upon completion of the document, a pre-completed TimeKeeper entry will appear.

Case Name, User, Billable Hours, Hourly Rate, Task Code, and Activity Code are all pre-populated with the defaults associated with the selected template & author.

Modify the entry with any additional information necessary.  Default billable hours may be modified and calculated by using the start and stop buttons to clock the amount of time on the task
